Responsible for planning, organizing and implementing specific services. Responsible for fiscal management, performance improvement activities, and compliance with all relevant polices/procedures and regulations. Manages all aspects of personnel processes. Communicates information effectively. Ability to make timely decisions and manage change process. Must interface with all departments as part of the management team.
Responsible for oversight of Storeroom, Mail Room and Transportation in the areas of team member job performance, scheduling, training, quality assurance distribution and inventory control. Oversees all Materials Management equipment, transporters vehicles including maintenance, Ability to fill in all positions if needed. All members of the Leadership Team who need to use a phone for business purpose must use a personal cell phone.
5 years Materials Management experience.
3 years inventory control experience.
1 year management or 3 years supervisory experience.
5 years Healthcare setting
Working knowledge with the Materials Management Information System and standard office tools.
Strong math and analytical skills.
Excellent verbal and written communication skills and ability to relate well with people of diverse backgrounds, training and experience.
Assures that the purchasing activities for the inventory take place on a daily basis and that the information system reports are resolved on a daily basis. (Inventory value report, PO Status report, assists with the buyer expediting report and pending hold report)Assures that the receiving and distribution picking and issuing departmental policies and procedures are followed. Assures that the Storeroom area is neat, clean and in compliance with all regulatory guidelines. Checks for expiration dated items and oversees that stock is rotated as needed. Oversees the delivery and maintains the special equipment and special carts to all areas. (EPC machines, Feeding pumps, Code Carts, Isolation Cabinets and Carts, and Hypothermia equipment) Assures that Code Carts and Specialty Carts are replenished and checked as needed.
Oversees the 2 Bin Kanban system at the main hospital to make sure it is maintained and that procedures and policies are followed. Runs reports and makes improvements to the par levels based on findings. Works with nursing on any changes and makes recommendations to improve delivery of supplies. Assures that all transactions are completed on a daily basis, including receipts, issues and adjustments. Assures that cycle counts are completed on a weekly basis. Oversees the Year End Physical Inventories making sure that the inventory is counted and reconciled. Reviews all information system reports to proactively identify system issues that need to be corrected to maintain an accurate inventory. Assures the timely delivery of the U.S. Mail, interoffice mail, and supplies to the main hospital departments, satellite and physician offices.
Oversees the delivery of equipment and supplies from the main hospital to satellite locations as needed. Serve as the system wide expert on U.S. Mail processes. Address end user concerns regarding mail or courier issues. Oversees the transporters vehicles including maintenance. Maintains fuel logs and assures the vehicles stay clean and safe to drive. Serves as an expert for the Materials Management Information System as it relates to receiving and inventory control. Assures that all orders are placed by ten o'clock for the Storeroom. Makes phone calls to vendors regarding knowing the products, back orders, and emergency shipments. Assures all time and attendance entries are completed and checked for accuracy. Sets schedules, vacation times and oversees any changes to the schedules. Fills in work schedules as needed. Performs routine department work assignments if needed. Completes projects as assigned.
