The Strategic Sourcing Specialist is responsible for the identifying and securing strategic cost saving through effective analytical skills, sourcing and contract negotiations for the Hackensack Meridian Health (HMH) network. Handles the RFP (Request for Proposal) process and protocols within the organization for end users to provide significant cost savings across the HMH network. Completes an analysis of purchased supplies, services, and equipment within a multi-facility procurement environment.
Responsibilities
A day in the life of a Strategic Sourcing Specialist at Hackensack Meridian Health includes:
- Post value analysis assessment will result in a comprehensive recommendation to management and the strategic sourcing team of potential cost savings through effective contract negotiations utilizing current GPO (Group Purchasing Organization) or direct negotiations with a manufacturer/supplier.
- Source and negotiate core products through effective analytical, negotiation and interpersonal skills with multiple countries and manufacturer/suppliers to protect HMH against product shortages from natural disasters, component shortages, foreign exchange rates, political instability in various foreign countries, tariff rates, transportation labor strikes, manufacturer/supplier bankruptcy etc.
- Proactive in finding alternative manufacturer/suppliers quickly during pending threat/unforeseen crisis.
- Identifies, solicits, facilitates, and secures manufacturer/suppliers domestically and globally across a wide range of categories to meet or exceed all supply chain initiatives: cost reductions, payment terms, ethics, integrity, and reliability for the long- term benefit of HMH.
- Meets with manufacturer/supplier sales representatives (in person or virtually) to learn about new products and services, research, costs, payment terms and performs comparative SWOT (strengths, weakness, opportunities and threats) for manufacturer/supplier due diligence and vetting.
- Assess and track KPI (key performing indicators with GHX) for all manufacturer/suppliers including those within GPO every 6-12 months (Manual assessment of product quality, performance, attributes).
- Communicates and educates new manufacturer/suppliers, initiatives, and opportunities within the procurement team as well as HMH organization.
- Works proactively and collaboratively with key individual(s) and/or departments to identify and initiate value driven products, projects, and services for cost savings opportunities per department or unified across entire organization; focused on integrating all cost savings to all vertical and horizontal end users within HMH.
- Educates, encourages, and executes RFP (request for proposal) with key individuals and/or departments.
- Provides cooperation, support, and confidence to implement the most cost-effective RFP.
- Anticipates concerns, risks, explains potential benefits for key individual(s) and/or departments regarding RFP.
- Identifies and shares initiatives currently available within GPO system for key individual(s) and/or departments.
- Assists key individuals and/or departments with selected manufacturer/supplier regarding final contract/price negotiations.
- Ensures pricing integrity and accuracy with systems to enforce the adherence of all pricing policies, contract within all HMH systems.
- Creates, executes, and maintains all electronic contract files within HMH system in an organized and logical hierarchy approach.
- Responsible for maintaining additions, renewals, deletions, updates, and price changes within contracts for HMH systems.
- Reviews non-category coded purchase bi-monthly and provides categories if available.
- Discovers root cause of price discrepancies.
- Provides recommendations for substitute products related to recalls, alerts and FDA bulletins.
- Works with legal counsel to ensure all details for procurement are outlined and achieved during negotiations.
- Meets weekly with management and team members to review daily workload status, projects, improvements of workflow (through positive recommendations and constructive feedback for striving for excellence), provides coaching and mentoring within team as well as department.
- Initiates professional growth opportunities related to improvement of computer skills, time management, organizational skills, stress management once a month and shares with team. (Quick Tips).
- Tracks all cost saving initiatives (monthly, quarterly, and yearly).
- Excel user with analyzing data downloaded: an ability to review categories as a whole and in detail by manufacturer/supplier, category, and subcategories.
- Procurement liaison to all departments regarding manufacturer/supplier contracts, products, and services.
- Other duties and/or projects as assigned.
- Adheres to HMH Organizational competencies and standards of behavior.
Qualifications
Education, Knowledge, Skills and Abilities Required:
- A Bachelor's degree and/or equivalent.
- Minimum of 5 years of relevant experience.
- Travel within HMH network as needed/required.
- Project management skills.
- Experience with Microsoft Suites: Excel, Word, PowerPoint, etc.
- Highly organized, ability to multitask, good time management skills for aggressive deadlines.
- Ability to adjust workload efforts based on new priorities assigned by management.
- Strong written and verbal communication skills.
Education, Knowledge, Skills and Abilities Preferred:
- Understanding of the importance of HMH branding for all products and services.
Licenses and Certifications Required:
- Certified Materials & Resource Professional (CMRP) Certification at hire or obtained within 12 months of hire.
